Introduction
All business involves some form of collaboration.
That’s true whether you are a freelance Assistant, a PA or EA within a company or any other professional in a corporate setting.
The freelancer works (co-creatively) with clients, the PA or EA (collaboratively) with executives. In organisations, teams have to work together effectively or the business flounders rather than flourishes.
And in a hybrid working world, effective teamworking and collaboration requires technology and software to support productivity, innovation and efficiency.
Users of Microsoft 365 have a first advantage in having access to Microsoft Teams as a collaborative tool – and a second advantage in AI-powered assistance from Copilot.
A wonderful combination for empowering productivity
Why is Teamworking and Collaboration so Important in Business Today?
Browse through business articles these days and it won’t take you long to find some on the topics of teamwork, team building and collaboration.
This LinkedIn article by software development company Tigernix offers a number of reasons for why team building is important for an organisation.
Organisations want productivity, efficiency and growth. This means getting things done quickly and smoothly. Brands want to educate their customers, reach new audiences and offer better value to clients.
All of that requires people, different departments and teams to collaborate and work well together.
Collaboration allows people to share their skills, ideas and solutions to problems around – for example – products, services, logistics, support or sustainability.
Collaboration lets people discover better ways of working, innovating and communicating.
Collaboration creates the space for people to motivate, energise and inspire each other.
Having tools like Microsoft 365 and Copilot helps to make all of that interaction happen in a more productive and efficient way.
7 Ways Copilot Supports More Effective Collaboration with Teams, Clients and Partners
As you would expect with Microsoft 365, collaborative work is designed to be done working in Microsoft Teams, supported by other applications, including SharePoint.
This set up allows for chats, video meetings, real-time collaboration and integration with other collaboration or productivity tools.
Bringing Copilot in on the act adds an extra layer of efficiency and smart working to the process.
Here are 7 ways in which Copilot can boost your collaborative efforts and save time.
1. Research
You may want information for a report, project or to share with colleagues, for example.
Simply ask, or ‘prompt’, and Copilot will search the web for information on any topic you like. It comes up with real-time ‘answers’ together with the sources it has used. Ask more questions to refine your search. Copilot can also summarise the content of multiple sources on a particular topic, academic papers, for example.
2. Working with Documents
If you’re struggling to get started with writing a document to be shared, Copilot in Word can get you from a blank page to a solid draft much faster. You can also ask Copilot to rewrite or edit your draft or any another document.
For research, report writing or preparing for meetings, Copilot can suggest relevant documents (from your folders or shared team folders) to include or refer to.
3. Emails
Copilot is very versatile and offers handy assistance in Outlook. It can help you write an email, draft a reply to an email you’ve received , summarise an email conversation thread, or coach you on the response you have written, whether between you and one individual or you and several team members.
4. Presentations
Creating presentations for the team or an external audience can be daunting for some. Copilot comes to your aid with assistance in creating, designing and structuring the content and the look of the presentation.
5. Meetings and Project Management
When you schedule a meeting in Outlook you can ask Copilot to create an agenda (based on the information you give it). Copilot can then take that agenda and create a quick meeting invitation (automatically including anyone in the relevant email thread).
After meetings, Copilot can produce a summary and list of tasks together with who is responsible for each action point.
6. SharePoint Sites and Pages
SharePoint is an important collaboration tool for teams. With Copilot AI, it’s possible to build more compelling sites and pages for your brand, and to help team or project members work together more effectively.
7. Data Analysis for Projects and Strategy
Ask Copilot to assist you in Excel, and it can help you to analyse trends, gain insights, generate formulas and create smart visual representations of data. Vital information for any successful collaborative project or organisational strategy.
Why Collaborative Copilot Users Still Need Sound Knowledge of the Microsoft 365 Ecosystem
There are many ways Copilot can support more effective collaboration. You’ve read about 7 of those here just now.
However, for all its undoubted power and assistance, Copilot cannot do everything for you. You still need to know how to use the essentials in Microsoft 365.
Take the research assistance functions, for example.
Copilot searches the world wide web for relevant information. It has access to the entire internet and, as we know, the internet is not a 100% reliable source of information.
You still need to check information offered by AI is accurate, up to date and from a reputable source.
Copilot can do a lot of the legwork for you but you still need to know how to write an email, create documents and presentations, and the etiquette involved for smart and respectful collaborative communications.
Investing in personal growth and professional development is one of the key ways to get ahead as a professional Assistant or improve team performance.
As its name suggests, Copilot is there to assist you – not to replace you.
If your knowledge of Microsoft Teams is weak, you won’t be able to make the most of its productivity, communications and collaboration strengths. Or, do you know how to collaborate effectively on Microsoft Word documents, for example?
If you have gaps in your practical ‘know how’ knowledge of core applications like Word, Excel, PowerPoint and Outlook it could leave you with two problems.
Firstly, you may not recognise all the ways Copilot can assist you when working in a specific application. And secondly, you may not know how to adjust, edit or correct something that has been created with Copilot’s help.
Instead of saving you time, it could leave you wasting time and feeling frustration with the technology.
Until next time.
