Introduction
When thinking Microsoft 365 we tend to talk about the core applications like Word, Excel, PowerPoint, Outlook and Teams.
However, if collaboration is important to you or your organisation, another name will spring to mind: SharePoint.
Organisations can integrate SharePoint in Microsoft Teams and use SharePoint to create websites. These can be team sites, providing a private space for collaboration, or communication sites, designed to share information and engage a wider audience.
Microsoft SharePoint creates a space for managing documents, tracking and updating projects, sharing resources and files, co-authoring content or focusing on a particular subject or theme.
The integration of AI-driven support from Copilot helps you to design, build and refine sites and pages faster and more effectively.
Whilst Copilot is undoubtedly a smart productivity tool you still need to know the basics of SharePoint to bring the best out of the AI (and avoid annoying mistakes).
How Does Copilot in Microsoft SharePoint Empower Collaboration and Productivity?
Copilot is an AI-powered assistant integrated into all Microsoft 365 applications. Inside SharePoint, it is a practical production helper by your side.
Having a confident knowledge of Microsoft SharePoint will help you know how to get the very best from Copilot’s powerful capabilities.
Here are some key ways you can ask Copilot to help in SharePoint.
Create Pages
Creating pages in SharePoint with Copilot streamlines the page-building process. It saves you time and effort, allowing you to focus on delivering content that engages, moves people and has impact.
There are two main approaches with Copilot: creating pages from templates or from Open Prompts. Let’s take a brief look at each one.
1. Templates – Choose from ready-made templates, including newsletters, events or updates. Copilot helps you craft pages quickly, get a structured starting point, and achieve a consistent brand look and tone.
2. Open Prompts – If brand or house style is less important, and you want to experiment more with different designs, use Open Prompts with Copilot.
Type a prompt about what you want and Copilot uses AI to suggest layouts and content ideas with strong visual appeal.
Refining Pages #1 (Layout, Design and Content)
Once you have a first-stage page up you can start to refine the layout, design or content. Use the Design ideas function to suggest different looks and feels for the page. Then adjust colours, fonts and images to match your brand or personal style.
Refining Pages #2 (Rewriting & Editing)
With Copilot in SharePoint you can use the rich text editor to help you write (and rewrite) content for your pages.
Copilot takes your first draft and aims to improve on it. It might highlight key points in bold at the start of each paragraph or add some vitality to the tone, for example.
You can go with Copilot’s version or try again (and again). Simply hit the Regenerate or Adjust button until you are happy with what it gives you.
Refining Pages #3 (Fine Tuning the Text)
With the ‘Adjust’ feature, the AI in Copilot works to fine tune your text or copy – the words on the page.
Ask Copilot to ‘Condense’ to make your copy shorter. It will not only cut the length of the content but make it more concise. Ask Copilot to make your copy ‘Longer’ and it will add details, explanations and examples to the piece.
Copilot also lets you play with tone of voice (with variations such as ‘natural, ‘professional’, ‘casual’, ‘imaginative’ or ‘enthusiastic’).
Content Recommendations
Copilot in SharePoint (for those with an online license) can also give you content recommendations.
For example, a member of an organisation’s sales team might want extra insights or to refresh their knowledge about a particular product. Copilot can search for brochures, pricing, pitch decks, specifications, sales records, and other documents or data relating to that product.
As a professional Assistant, you might be asked to update sales and marketing literature. You could use the same Copilot function to assist you with that task.
Let Copilot Do the Legwork but Remember (or Learn) Your Microsoft SharePoint Essentials
As a Microsoft applications trainer, I know from my clients the value of understanding the essentials of Microsoft 365 applications.
When you bring those essential skills together with Copilot, as my article series on Empowering Productivity explains, that is when you experience truly time-saving technology.
The introduction of Copilot is a big benefit to users of Word, Excel , PowerPoint , Outlook and OneNote.
And it’s the same for SharePoint.
Using Copilot is a real time saver (especially as you get better with prompts, or how you ask it to do tasks). It helps you get tasks done faster and more efficiently, improving productivity so you can focus more on priorities.
However, it’s not all plain sailing.
Copilot has limitations. It cannot do everything for you. You still need to know some essentials about SharePoint to create great pages. You still have to be responsible for what you create with AI assistance.
Remember, AI takes information from all across the internet. There is no guarantee the content it suggests for you is 100% accurate. It’s your responsibility to check and verify facts, stats and sources.
If you’re a SharePoint user and feeling there are some gaps in your knowledge, the answer is learning and training.
Copilot Studio and Custom Agents in SharePoint
If you’re looking to take your SharePoint experience to the next level, Copilot Studio is worth exploring. It lets you build and deploy your own custom Copilot agents—tailored to your team’s specific workflows and needs.
These agents can be embedded directly into SharePoint pages, where they act like smart assistants. For example, imagine you’re in marketing and need to pull together campaign data. Instead of digging through folders and files, your custom agent can do the legwork—gathering insights, generating reports, and surfacing the information you need, fast.
It’s a great way to automate repetitive tasks and bring more intelligence into your day-to-day work.
Just a heads-up: to create and use these custom agents, you’ll need a Copilot Studio license. This gives you access to the tools needed to build and manage agents that fit your exact requirements. Without it, you’ll miss out on some of the more advanced automation and productivity features—so it’s definitely something to consider if you’re serious about scaling up your SharePoint game.
